Group Bookings — Rules, Guest Policies & Booking Information
CSRA group bookings allow residents to enjoy the Beach House and amenities with larger groups while maintaining fair access, safety and enjoyment for the entire community.
Please review the following rules and requirements before submitting a group booking request.
Group Booking Eligibility

The resident making the group booking must be 18 years of age or older and have an active CSRA membership.

Residents may bring up to 3 guests under regular guest privileges without making a group booking.

Groups of 4 to 25 guests require an approved group booking.

A maximum of 25 guests is permitted per group booking, including children and infants.

Residents who are eligible for their own CSRA membership cannot be admitted as guests and must use their own membership card.
Booking Requests & Approval

All group booking requests must be submitted using the online booking form below at least 7 days before the requested booking date.

A $25 group booking fee is required to confirm the booking.

Submission of a booking request does not reserve or guarantee the requested date or time.

Your booking is not confirmed until the $25 booking fee has been paid and the booking has been approved by CSRA.

Booking dates and times are available on a first-come, first-served basis based on completed payment and CSRA approval.

If payment has not been received, CSRA will not hold the requested date or time. The booking may be provided to another resident who completes the booking requirements and payment first.

A confirmation email will be sent once the booking has been approved and payment has been received.
$25 Group Booking Fee
A $25 group booking fee applies to all group bookings.
The fee helps offset a portion of the additional administration, staffing, supplies, cleanup, maintenance and other operating costs associated with larger group use. The $25 fee does not cover the full cost associated with administering and supporting group bookings.

Booking Duration & Availability

Group bookings are limited to a maximum of 4 hours.

Group Bookings are limited to once a month per household.
-
Group booking availability is limited to ensure reasonable access to CSRA facilities for the entire community.

The number of group bookings accepted on any given day may vary depending on staffing, facility capacity, scheduled activities, weather and operational requirements.

CSRA reserves the right to limit or decline group bookings where necessary.
Guest List Requirements

A final guest list is required for all group bookings.
-
The guest list must be submitted to CSRA at least 3 business days before the booking date.
-
Guests must be listed individually and in alphabetical order by last name.
-
Children and infants are considered guests and must be included individually on the guest list.
-
Only guests appearing on the approved guest list will be admitted.

The booking resident and other CSRA members do not need to appear on the guest list. CSRA members must enter using their own valid membership cards.

Changes to an approved guest list are subject to CSRA approval.

Failure to submit the guest list within the required timeframe may result in guests not being admitted.
Check-In & Guest Admission

The booking resident must check in with the Front Desk Attendant upon arrival and present their valid CSRA membership card.

Guests will not be admitted before the booking resident has arrived and checked in.
-
The booking resident must remain on-site for the entire duration of the group booking.
-
Before leaving, the booking resident must ensure all guests have left the facility and complete any required check-out procedure with CSRA staff.
Children & Guests Under 18
-
The resident making the group booking must be at least 18 years of age.

Guests under the age of 18 attending without their own parent or legal guardian may be required to have the applicable CSRA waiver completed by their parent or legal guardian before being admitted.

The booking resident is responsible for ensuring all required waivers are completed before the booking.

Adding a minor to the guest list does not replace any required waiver or parental/guardian authorization.

All CSRA age, supervision, safety and facility-use rules continue to apply during group bookings.
Booking Resident Responsibilities
The resident who makes the booking is responsible for their group and guests throughout the entire booking.
The booking resident must:

Remain on-site throughout the entire booking.

Ensure all guests comply with CSRA Rules & Regulations.

Ensure appropriate supervision of children and minors.
-
Ensure guests behave respectfully toward CSRA staff, residents, property and other facility users.
-
Leave the booking area clean and in the condition in which it was provided.
-
Ensure all group-generated garbage is removed.
-
Report any damage, safety concern or significant incident to CSRA staff.
Garbage & Cleanup
The booking resident is responsible for taking ALL garbage generated by their group with them when they leave.
This is a condition of the group booking.

Group-generated garbage must not be left behind for CSRA staff to remove or dispose of.
-
Food waste and organic material must not be placed in bottle-recycling containers.
-
Garbage, recycling and food waste must not be left on the beach, grounds, picnic areas or anywhere around the facility.
-
Nothing may be thrown, dumped or allowed to enter the lake.
-
Picnic tables, barbecue areas and surrounding grounds must be left clean and ready for use by other residents.

Failure to clean the area or remove group-generated garbage may result in the suspension of future group booking privileges.
Property Damage
-
The booking resident is responsible for damage caused by themselves or their guests to CSRA property or amenities.
-
Portable barbecues and other hot appliances must not be placed directly on picnic tables, benches or other surfaces where they may cause heat or burn damage.

Any damage must be reported to CSRA staff immediately.
-
CSRA may seek reimbursement for repair or replacement costs resulting from damage caused by the booking resident or their guests.
Cancellations & Refunds

If your plans change, please notify CSRA as soon as possible so the booking time can be made available to another resident and staffing can be adjusted where possible.

The $25 group booking fee is non-refundable once the booking has been confirmed, except where the booking cannot reasonably proceed due to inclement weather or CSRA cancels the booking.

Failure to attend a confirmed booking without providing prior notice may result in the temporary suspension of future group booking privileges.
-
CSRA reserves the right to cancel or modify bookings due to weather, safety concerns, facility closures or other operational requirements.
Conduct & Enforcement

Booking residents and their guests must comply with all CSRA Rules & Regulations and reasonable directions provided by CSRA staff.
-
Respectful conduct toward CSRA employees, residents and other facility users is required.
-
Abusive, threatening, unsafe or inappropriate behaviour will not be tolerated.

CSRA reserves the right to refuse admission, remove a guest, terminate a group booking or restrict future group booking privileges when CSRA Rules & Regulations are not followed.

Serious incidents may be referred to security, police or other appropriate authorities where necessary.
Important Booking Information
Submitting a booking request does not reserve your requested date or time.
Your booking is confirmed only after:

Your booking request has been approved by CSRA; and
-
The $25 group booking fee has been paid.
Booking requests must be submitted at least 7 days in advance.
The final guest list may be submitted separately and must be received at least 3 business days before the confirmed booking.
Booking availability is first come, first served based on completed payment and CSRA approval.
By submitting a group booking request, the booking resident acknowledges that they are responsible for complying with these Group Booking Rules & Guest Policies and for ensuring their guests comply with applicable CSRA Rules & Regulations.
